Job Description


Directs and coordinates the reception area and front office activities, such as telephone responsibilities, greeting guests, office lunches and meetings, and administrative duties.



Duties include but are not limited to: 

  • Manage telephones including directing incoming calls and updating the phone lists.
  • Greet, sign in, and ensure guests understands safety protocol.
  • Provide information by answering questions and requests.
  • Assist with scheduling of meeting rooms.
  • Coordinate onsite events; includes booking travel, hotels, meals, etc.
  • Send out company communication via email and posting board.
  • Complete First article inspection letters.
  • Ensures proper operation of office copies and other office equipment by completing preventive maintenance: calling for repairs; maintaining equipment inventories, evaluation new equipment and techniques.
  • Manage mail flow including checking outgoing mail to ensure all items are sealed and adding postage if necessary, sorting and distributing incoming mail, maintaining postage meter supplies, and replenishing postage funds when needed.
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing orders for supplies; verifying receipt of supplies. 
  • Purchase & Stock maintenance for Stationery/Panty/Housekeeping material.
  • Contact person for service providers A/C, Landline , Leaseline & IT.
  • Medical kit upkeep.
  • Visiting cards.
  • Landline billing /issues/shifting.
  • Medical kit upkeep.
  • Mobile phone / Dongals
  • Coffee vending machine- upkeep & stock
  • Gardening upkeep.
  • Domestic travel bookings (Air/Rail & Road)
  • Internal travel bookings.
  • Domestic (train bookings)
  • Matrix cards
  • Invitation letter
  • Hotel bookings for guest & staff
  • Guest –( Travel -Domestic/Rail/Road).
  • Review resumes and disposition candidates through Applicant Tracking System.
  • Backup to payroll process.
  • Run standard and ad hoc reports as needed; includes Associate Master report, fire drill list, etc.
  • Assist with letters as needed.
